This policy explains how Suchitra Educational Society collects, uses, stores, and protects information when you use the Suchitra Attendance mobile app and related website services.
1. Information we collect
- Account details such as name, mobile number, email address, employee details, and login credentials.
- Attendance data such as check-in, check-out, timestamps, selfies, drill submissions, explanations, and related audit activity.
- Location data, including precise or background location, when required to verify attendance, field activity, and compliance workflows.
- Device data such as device UUID, manufacturer, model, operating system version, app version, and notification token.
- Files or media you upload, including photos, videos, PDFs, and supporting documents.
- Notification and communication data, including Firebase Cloud Messaging token and records needed to deliver alerts.
2. Why we collect this information
- To authenticate users and manage secure access to the attendance platform.
- To record and verify attendance, field presence, drill tasks, and compliance events.
- To prevent fraud, duplicate registrations, and unauthorized device access.
- To send important notifications such as device approval, rejections, general alerts, and app update notices.
- To generate operational reports, audit trails, and administrative review records.
- To provide support, troubleshoot issues, and improve service reliability.
3. Location, camera, and notification permissions
The app may request camera access for selfie verification, drill uploads, and supporting evidence. It may request location access, including background location where applicable, to validate attendance or assigned field activity.
The app may also request notification permission so that users receive operational alerts, approval updates, test notifications, and important app communication.
4. How information is shared
Information is shared with the secure backend systems that operate Suchitra Educational Society and with authorized administrators who manage attendance, compliance, monitoring, and reporting.
Notification delivery uses Firebase Cloud Messaging. Data may therefore be processed through Google Firebase services for push notification functionality.
We do not sell personal information to third parties.
5. Data retention and security
We retain information only as long as necessary for attendance operations, audit requirements, support, compliance, and legal obligations.
We use reasonable technical and organizational safeguards to protect stored information, but no online system can guarantee absolute security.
6. User choices and requests
Users may contact us to request correction or deletion of personal information, subject to operational, audit, and legal retention requirements.
Disabling permissions such as location, camera, or notifications may limit parts of the app or prevent attendance and workflow features from functioning properly.
